A Brookway Finance article on phasing dental equipment purchases in League City, Texas.
Dental equipment loans for scanners, chairs and sterilization rooms
Dental equipment loans work like other equipment financing: the scanner, chair or autoclave is the collateral, the term roughly follows how long the machine stays in service, and the practice makes fixed monthly payments. What sets dentistry apart is how much of the spend is equipment at all. A new operatory or sterilization room can include identifiable machines and movable cabinetry; fixed plumbing and room construction are excluded.
Payroll is the other big line in a practice budget, and it shapes how much new debt a month can carry. The 2023 County Business Patterns put 817 paid employees in Galveston County, TX offices of dentists (NAICS 6212), across 113 employer establishments, with $44.9 million of annual payroll. On our arithmetic that is roughly $54,956 a year per employee and 7.2 employees per practice, before any equipment payment is added.
In ZIP 77573, a ZIP that lies almost entirely inside League City, the 2023 ZIP Code Business Patterns listed 46 offices of dentists with employees. The 2024 Nonemployer Statistics add 89 dental offices in the county with no paid employees. The dental office financing page uses these figures alongside the practice-purchase and movable-equipment requests.
Financing dental practice equipment in phases
Phasing lets a practice add one payment at a time and see each machine earn before the next one arrives. One workable plan starts with the item that changes daily work most, such as digital impressions, then adds operatories as the schedule fills, then updates sterilization equipment as the practice grows; fixed room work is excluded.
| Phase | What is financed | Amount | Term and annual rate | Monthly payment |
|---|---|---|---|---|
| 1 | Intraoral scanner | $34,000 | 48 months at 9.5% | $854.19 |
| 2 | 2 chairs with delivery units | $43,000 | 60 months at 9.5% | $903.08 |
| 3a | Autoclaves and sterilization equipment | $19,600 | 60 months at 9.5% | $411.64 |
| 3b | Movable cabinetry, sterilization accessories and freestanding lighting | $28,000 | 84 months at 10.5% | $472.10 |
Once all three phases are running, the four payments come to $2,641.00 a month combined. Financing the same $124,600 in one request over 84 months at 10% would cost $2,068.51 a month from day one, $1,214.32 more than phase 1 alone. The phased version costs more per month at its peak but starts small; the single request is lower at the peak but carries the whole amount before the new chairs see a patient.
The movable cabinetry and accessories in phase 3b can be reviewed on a supplier quote; fixed walls, plumbing and electrical work are excluded. All rates, terms and prices here are invented to show the method.
New vs refurbished dental equipment in a loan request
Refurbished chairs, units and sterilizers lower the amount, but they can change the term a partner sets and the paperwork it asks for. Expect questions about the unit's age, who refurbished it, what was replaced and what service coverage the seller includes. A dealer's written refurbishment record answers most of them before they are asked.
Illustration only, invented figures: the new-chair example prices the unit at $21,500. At 9.5% annually, the new chair's 60 payments are $451.54 each, totaling $27,092. A refurbished chair at $11,800 over 36 months at 11% costs $386.32 a month and $13,907 in total, $13,185 less over the life of the payments even at the higher rate and shorter term.
The saving only holds if the refurbished unit stays in service. A practice that would replace it again in four years may come out ahead with the new one, so put the expected service life of each option in the request.
Quotes and practice financials a lender asks for
Equipment requests move on paperwork. These are the items a funding partner can ask to see with a dental request:
- A written quote for each item with make, model, delivery, installation and training listed separately.
- The supplier quote for movable room equipment, kept separate from fixed construction, which is excluded.
- Two years of business tax returns and a current year-to-date profit and loss statement.
- Recent business bank statements and the collections report from the practice software.
- A list of current equipment leases and loans with their monthly payments and end dates.
- The practice's entity documents and the owner dentist's license details.
When the list is ready, call (346) 488-2084 or use the request form; the quotes go to a partner later, when it asks for them. Other articles for League City, TX practices and shops are on the articles page.
